Significant changes were made by Microsoft Business Solutions (“MBS”) to software and licensing costs for Microsoft Dynamics GP (“GP”). Clients who are current on their annual enhancement plan may gain access to additional GP product at no extra cost. However, those clients who access data through a third party product that does not currently require a full access GP license, or who use The Excel Report Builder functionality of SmartList Builder may now be required to purchase additional lower cost user licenses known as Dynamics Client for Office (“DCO”) licenses. While these product changes were effective May 1, 2010 they will not impact your solution until you next upgrade or for some Version 10 clients when you next enter new version 10 registration keys.
Business Ready Licensing – Business Essentials (“BE”) edition now includes the following new modules and additional functionality:
- Field Level Security
- Account Level Security
- Electronic Banking Suite
- Electronic Banking Management
BE clients are now able to purchase the Modifier product a la carte, as well as DCO users, neither of which were available to BE clients prior to May 1st, 2010. The DCO user licenses now provide greater functionality than in the past and are significantly less expensive than full access GP licenses. The DCO features are listed later in this document.
Business Ready Licensing – Advanced Management (“AM”) edition has modified the access to components for Requisition Management, Business Intelligence reporting and now provides access to new product such as the HRM Self-Serve Suite by upgrading your Business Portal (“BP”) users to the new DCO User. Clients may also purchase additional DCO users at a lower price point than the full access GP license.
Microsoft has created new module suites for Manufacturing, Distribution, Risk, Integration and Customizations. If you currently own one module within the new suite, you are now entitled to the entire suite at no additional cost. Descriptions of the new Module “Suites” are summarized at the end of this.
Clients using Third Party products that access or manipulate GP data and who do not have an existing full user access license may be required to purchase a DCO user license when they next upgrade.
Clients using SmartList Builder and the new Excel Report Builder (known as “refreshable excel reports” which became available in Dynamics GP 10) may be required to purchase a new DCO User when they next upgrade if those users are not already full access GP users.
Dynamics Client for Office (“DCO”) User
The DCO User licenses replaces Business Portal users and now covers the following use cases:
- Business Portal Employee and Customer uses need a DCO to access Dynamics Data
- DCO required with the use of Analysis Cubes
- DCO required with the use of Analysis Cubes Library
- DCO required with the use of Workflow applications
- Management Reporter Viewer is now a DCO licensed user (See note below on Management Reporter)
- DCO required with the use of Business Intelligence Components:
- Executive Centers & Dashboards
- Excel Reports
- SQL Reporting Services Report
- DCO required with the use of External Order Management
- DCO required with the use of Requisition Management
- DCO required with the use of Project Time and Expenses
- DCO required with the use of Field Service Suite users
- DCO required for self-services users use of Human Resources Management Self Service Suite
Business Ready Licensing clients effective the next product upgrade will have their Business Portal users upgraded to the new DCO User with the features as listed above.
DCO licenses cost $270 but from now until December 22, clients who qualify may purchase these users at no cost but will be charged the annual enhancement fee at the time of purchase.
Other DCO Use Cases
Clients who currently own a Client for Microsoft® Office and SharePoint® Server (also known as “DCO for MOSS” User) should arrange a discussion with a Rimrock licensing representative as users will be affected when you next upgrade your software. We recommend clients clarify the number and type of users they have as these users are being removed from the Microsoft product SKU’s.
Microsoft SharePoint Server users (formerly known as Microsoft Office SharePoint Server (MOSS) users) are also impacted by these changes. These users will need to purchase a new DCO user to be able to access any of the capabilities of the new DCO user.
New Module Suites
Microsoft has consolidated these products into “Suites” of product. If you currently own one module within the suite and are current with your annual enhancement plan, you automatically are upgraded at no additional cost to the suite in which your product is listed. Access to the new products will be subsequent to your Dynamics GP 2010 upgrade.

- Integration Manager – Financials (GL,RM,PM,FA,BR,Payroll,Project)
Integration Manager – Distribution (POP,SOP,INV)
- Developer Toolkit for Microsoft Dynamics® GP eConnect Web Services
- Customization Suite – available to both Advanced Management or Modular clients:

- Dexterity
- Management Reporter as a Replacement for FRx
Management Reporter (“MR”) is replacing FRx. FRx wll continue to function until its expected retirement date in 2013 – 2014. Dynamics GP 2010 includes V1 of Management Reporter, which includes both Management Reporter Designer and Viewer uses. Note that there is no multicurrency functionality in the first release.
Changes to SmartList Builder
Clients currently using SmartList Builder and sending Excel refreshable reports to users who are not already full access users – will need to ensure they have a Dynamics Client for Office (DCO) User effective your next upgrade. DCO licenses can be established by:
- If you already own Business Portal (BP) users then these will be converted to DCO users as of May1, 2010, provided you are current on your annual enhancement plan.
- Clients using Business Ready Licensing Advanced Management (AM) will receive the equivalent number of DCO users to their Full Access users.
- Purchase new DCO users.
